Foil, Unit Dose Dispensing (UDD)

[Jun 08]     This explanation assumes you are familiar with normal dispensing within RxOne and only includes instructions where they differ from normal dispensing.   Dispensing a foil script on Medico, Med-Pak, Webster (Prompt) or Persocare is fully integrated into RxOne and requires little more effort than dispensing a normal script.   Before foils can be used for the first, time, you need to turn it on and specify your requirements – see Foil, Setup   Differences between Foil Packs and Other Scripts To start a foil pack, select the customer as per normal then use the Foil button on the patient screen rather than the New Script button. In the New Script window Foil Pack will be ticked automatically, as will Phoned Script (this may be unticked if incorrect). These foil scripts will be automatically ticked as Continuous Medication. This is used for bulk dispensing of foils which is described later.   To dispense normal (constant dose) foils 1. Select the patient as for a standard script, up to the point that the patient history is displayed and the 'Script' button lights up. 2. Select ‘Foils’ button. 3. Continue as normal. When the quantity has been entered it will bring up the 'Unit dose dispensing' Window. 4. Check that all the features described in the next paragraph on ‘Unit Dose Dispensing Window’ are correct. 5. Type in the doses, on the top line eg, 1 <enter>, 0 <enter>, 0 <enter>, 2 <enter> for '1 morning, 0 noon, 0 dinner, 2 bedtime'.     Move along with the usual keys of either <enter> or <tab>.     Move back with the usual keys of <shift> + <tab>.     Or, use the cursor arrow keys, left/right/up/down to move around the grid. 6. When the top line is set to your satisfaction, select Ok and RxOne will fill the grid by extrapolating the top row down all columns.   The Unit Dose Dispensing window   Day Up and Day Down buttons. -These change which day is the first day for the foil pack. The day at the top is the first day of the foil even if the days are printed from the bottom of the foil pack upwards.   Time of Day. -If necessary, move up with the arrow keys and overtype with what you need; e.g. replace "8:30" with "Morning". These times are recorded and used for repeats.   Add/Remove Time Period button.   -This provides the ability to have more columns to handle more frequent time periods e.g. Breakfast, Mid-Morning, Lunch, Mid-Afternoon, Dinner, Before Bed   Number of days on foil.   -Use the mouse to move into the 'Scripts for xxx days' box and left click to highlight, then change. When OK is pressed, every row with numbers in is extrapolated for the period of the script. For scripts lasting less than 28 days (e.g. 10-day antibiotic script) change this number.   Cancel. -Exits the Unit Dose Dispensing window without making changes to the information. Used mainly when editing a script to look at information.   Zero Pack 1 etc. -Clears all the doses from the grid in view.   Pack1, Pack2, Pack3, Pack4. -Click on these buttons to view each pack contents enabling you to fill in each pack appropriately. Thus if one week/month is not required for dispensing then simply enter zero quantities for this week/month.   To dispense variable dose and unusual foils Proceed as above, and fill in the top line of the foil. Move the cursor down to fill in the second line, which can be different, eg, alternating doses. When finished, Ok will repeat what you have entered down the foil. If necessary you can enter every box on every line by hand.   Print foil options can be overridden at time of dispensing, if required. Click the appropriate box.   More than 4 dose times You can do more than 4 dose times e.g. ''Sinemet - take five times daily''. On the foil grid screen, type in the number of dose times required in the Foil dose time box (at bottom RH corner), a second tab named ‘Foil 2’ will appear. Type in the dose time headings and input the extra doses into Foil 2.   Multiple types of script It is possible to ‘copy’ scripts, ‘repeat’ scripts, have ‘new’ scripts and have 'additional medication' all on the same foil. This is accomplished by: 1. Copy any scripts already in RxOne 2. Repeat any scripts already in RxOne 3. Enter any new scripts 4. Bring up the patient and select all the scripts you have just copied, repeated or entered and any additional medication. 5. Press 'Print Duplicate' 6. Select the requirements you wish to print at this time.   Foil, Date Options There are options to print Dispensing date, Start date, Today's (printing) date on the foil – see Foil, Setup   Dispensing date - This is the default setting even if printed on another date. If this date is being cut off when you print, please go to printer set up and expand the length for that field.   Today's date - This is the date that the foil is printed.   Start date - There is a field for printing "Start date' if required. - for weekly foil (1x or 4x weekly): once the first start date for week 1 is entered, the computer will work out the rest of the start dates for the following weeks including the repeats i.e. start date for week 2 will be 7 days from week 1 start date; - for monthly foils - when repeating a monthly foil, the start date for the second month will be automatically worked out as 28 days from the start date of the first month. - PRN drugs - the periods and days both print as PRN on foil. Also if more than one pack, the packs will be numbered as pack 1,2,3,4.   Foil Comment There is space for 1 comment/foil e.g. supplied by ….. trust   Foil, Editing This is the same as editing a normal non-foil script except that <F2> is pressed to bring up the extra foil information. Editing a foil: 1. Select a patient. 2. Select the script to edit. 3. Select the ‘Edit’ button. 4. To edit the foil information press ‘F2’ 5. Select ‘Finished’ to save the details   Stock On Hand Figures The stock for a script is taken off immediately when it is dispensed. The printing of the foils (be they weekly or monthly) does not influence stock levels. Thus if a script is entered as a weekly foil with a quantity of 224 the stock will be taken off immediately even though 56 will be dispensed each week for a month   To avoid automatic 'phoned' Most 'foils' scripts are phoned, so this is set automatically. To avoid this 'phone' being ticked by default from the Dispensary  Patient window, access the foils from ‘Script’ icon (and tick Foil pack) rather than accessing foils by clicking the ‘foils’ Icon (which ticks Phoned by default).   Fix Patch The Medico Combo (Cold Seal) has a couple of spare ‘fix patch’ labels on each foil which can be used to patch up the odd blisters that need changing or correcting.   Foil, Setup details how to switch this function on RxOne.   To print fix patch: - On patient history or the daily log screen, highlight the script you want to print a fix patch for, right mouse click and select ‘preview foil’ - Select ‘Print Fix Patch’ - Enter the Period and the Day of the blister you want to reprint.   Foils, Printing Single foil Printing foils, signing sheets, foil header labels. Signing sheets can be printed for one foil or many foils at the same time.   To print one foil, signing sheet, foil (header) label 1. Bring up the patient history and highlight all items for the foil 2. Select Duplicate, to bring up the Duplicating pop-up.. 3. Tick any of; ‘Foil’, ‘Signing Sheet’ or ‘Foil (Header) Labels’ as you require. (You will usually want to set the number of plain (bottle) labels to zero). 4. Press ‘OK’ or <Enter> and whatever has been ticked will be printed.   Note: Items dispensed today could also be selected from the 'Main Dispensing Screen', but in this case they will not be grouped automatically and so will print on separate foils if they were dispensed separately. This can be used to advantage when this is what is wanted.   Foil, Copying Existing Foil This will take an existing foil and copy the selected scripts giving them new script numbers. This should not be confused with reprinting a foil.   1. Select ‘New Script’ 2. Select the Patient. 3. Select the scripts to copy. Note that ‘Foil’ scripts have an ‘F’ beside the script number. 4. Press either ‘Foil’ or ‘Copy’   Repeats for medications, which have previously been dispensed in foils, will have an ‘F’ beside their script number and will automatically dispense as a foil.   Check that the group for the foil is still current. If not, highlight the items to regroup, then Right Mouse click and select 'Group scripts'.   Foil, PRN PRN Foils If you want to print a PRN foil for a medication- after finishing all the regular medications select 'More' then enter the PRN medication and tick the PRN box on the screen with the grid. All the headings will be automatically changed to PRN for that foil.   Bulk Foil Dispensing for Rest Homes (or Community Monday) The original foil scripts need to be entered for the first time for each patient as you would a normal script, as discussed above. Once all the Rest-home patients are in the system along with their original foil packs, you can then use the Bulk Copy facility. This allows you to dispense the entire batch of foils for the rest home in one session. -See Script, Bulk Copy.   Adding/Removing Items from a foil Adding an Item: Look up the individual patient concerned. Dispense the item as you would normally. Once completed bring up the patient details and in the history list highlight all the items including the new Item(s) for the foil. Select the Utilities Menu Group Selected Scripts. Finally Print a duplicate Foil/signing sheet/Label to produce the required output. Removing an Item: Look up the individual patient concerned. In the history list, highlight all the items excluding the item(s) no longer required for the foil. Select the Utilities Menu Group, Selected Scripts. Finally print a duplicate Foil/signing sheet/Label to produce the required output.   Tips - If a script is a 'foil' item, the 'Status' panel of the dispensing screen will have the 'foils' box ticked. To set or cancel the 'foil' status at any time during dispensing or editing, left click on this box or select Foil.   Note  - When testing foils, don't expect to see the foil when you press 'More' at the end of the item... it comes up when 'Finished' is selected at the end of the whole foil.   Duplicate foil outputs Highlight the foil scripts you need to re-print from either the main dispensing history screen or the individual Patient Details screen. Click on the Print Duplicate button. Tick the outputs you require and click OK.   Patient Photo In the Patient view, click on Photo. If a photo is loaded it will appear on this tab. There will be a button to either change an existing photo or load a new photo if there isn’t one already. Clicking the button will bring up a dialog box prompting the user for the location of the photo file. The photo format can be one of several, including jpeg. If a patient photo is loaded for a patient it will automatically print out on the patients medication review.   Medication Review Report This report will print out either automatically or manually:   Signing Sheets There are 3 printing options:   1. Go to Printer set up, foil signing sheets, select type of foil, modify foil and tick ‘print only Monthly Style SS’ -If switched ON it will print Breakfast Week1 Week2 Week3 Week4 Lunch Week1 Week2 Week3 Week4   2. Tick  ‘Print only Weekly Style SS’ Week 1 starting Breakfast Lunch Tea Bedtime Week2 starting Breakfast Lunch Tea Bedtime   3. Neither ticked – grid will be set up according to foil selected i.e. weekly or monthly.   UDD Charges Report (Unit Dose Dispensing) From the Reports menu, go to Patient reports, UDD Report. A dialog box will appear prompting for the month and the Rest home for which to display the report.   Patient Charges Report  (Similar to UDD Charges Report). From the Reports menu, click Patient Charges Report.
