Phoned Scripts

If the computer knows a script is phoned, it will track it, print it out in prescription or list format on request, exclude it from Claims until received by the pharmacy, and automatically include in the next claim once received.

 

Using the 'phoned script' tracking is convenient for most pharmacies but some, with large numbers of phoned/faxed scripts that usually arrive within a few hours, prefer to use a "faxed script box" or "exceptions box". They put the faxed copy into that after dispensing, and destroy it when the signed original when it comes in, and only enter the residue that carries over the claim period as 'phoned' to prevent claiming.

 

To mark a script as 'Phoned'

- While dispensing the item, click the 'Phoned script' button or click in the 'Phoned' tick box on the 'Status' panel. All items that follow with 'More items' being selected for the same patient will also be automatically marked as 'Phoned'.

 

When to printout phoned scripts?

'Phoned scripts' can be set for 'print immediately' or be printed only when requested as the user chooses. To set this option;

1. From RxOne Start Menu, Tools, Options, Disp Switchboard.

2. Click on 'Print phoned scripts immediately' to insert or remove the tick. On 'Immediate printout' a prescription format form will be printed as soon as the patient is 'Finished'.

 

Phoned script report.

Can be done anytime regardless of the above 'immediate' setting.

1. From the main dispensing screen, Window, Reports, Pharmacy Reports, Phoned scripts.

2. Select from 'all', or by person or by Doctor, then whether you want a summary or prescription format.

Note; If report is by person and phoned Rx (rather than summary), the option to Remove Item from list removes the item from this report only. The item still remains marked as a 'Phoned Rx' . To cancel a phoned script, see the 'Reset phoned scripts' functions below.

 

Bulk Phone Script Printout

To print  'Phoned' scripts in bulk, as for an Institution or Rest Home. Go to Reports, Script Reports, Phoned Script Reports, Bulk Phoned script. Then select the doctor and the Institution and date. The doctor must initial each script item and then sign and date the declaration at the bottom of each page.

Note; If not already entered, put in the Institution's address using the 'Resthome utility'

 

To reset a specific 'Phoned' script

On receipt of a particular phoned script, RxOne needs to be advised so that it no longer includes it in the 'Phoned scripts' reports, and so that it will add the item to the next Claim.

1. Edit the script concerned & untick 'Phoned Script' box on the 'Status' panel. Or, click on the 'Phoned script' button.

 

To reset (cancel) ALL 'Phoned' scripts in bulk

From 'Tools' 'Utilities', 'Reset phone scripts' then select one of;

1. Manually select phoned scripts to reset. Or

2. Reset ALL phoned scripts. Or

3. Scan (barcode) to reset scanned scripts.

 

Notes

1) Practice ID is automatically handled on SmartClaim. It can be printed on phoned scripts if required.

 

2) For phone scripts, if a doctor’s name is entered in the locum field in a script the word (locum) will print after the doctor’s name.  Also on the ‘Phone Script Report’, there is a column displaying the “Locum Doctor”
