Gift Card Set-up

[Jul 08]

Gift card setup and instructions for use.    If possible set-up the account ahead of the time when it is actually needed.  This will save time at the Point of sale and lessen the chance of an error being made.   Go into RxOne Start Menu, Debtors, Debtors Options and setup a new account category called GIFT CARDS.   Set up a new account for each card and make them a member of the 'Gift Card' category. Accounts can be added at the Point-of-Sale Screen.  Go into a New Sale, Edit tab and Add/ modify account details.  Alternatively accounts may also be set up by going to the RxOne Start Menu,  Debtors, Tools, Debtors utility, and then ADD.  Credit limits will automatically default to Zero, leave them at this.   Each card has a unique barcode number.   We therefore suggest giving the new account a name such as  GIFTCARD 1234 or  G/C 1234  etc.  Remember to scan the barcode into the Barcode section of the new account.   The cards are now ready to be sold.     Selling a Gift Card   When a customer wishes to purchase one, go to Sales and Account Payment, scan the card into the Customer name field.  Put the value of the card ie $50 into the correct field for method of payment (ie Cash, Eftpos etc.)   The card is now charged up and ready to be given to the customer.     When the card is brought back into the shop for redemption.  Do the sale as normal but scan the barcode into the Customer / Account box. And finish the sale as an account sale ( F7 ).     If the customer goes over the credited amount on the card a message will come up saying so and what the balance will be if the account sale is allowed to go through.  Warn the customer of this and if they wish to continue with the sale they will need to make up the difference with another payment form (i.e Cash, eftpos etc.).     Finish the sale (this will put the card account into debit) and then do another account payment to the card account with the cash amount paid by the customer.   Once a card’s credit is used up we advise taking the card back and destroying it.  Some shops may wish to keep a record of cards sold and returned so that they can track usage.   Related Topics   FlyBuys Gift Card Vouchers & Gift Coupons Club, Setting up
