Getting started

Before spending the time to set up many accounts, it is a good idea to set up several test accounts and do several test transactions, with a statement printed, to look at how they work to confirm you are doing everything correctly.

 

1. Create a new account, then

2. Do a test transaction

3. From the 'RxOne' Main Menu, Select 'Debtors' and the debtors menu will appear

4. Select 'All Accounts' and Click 'OK'

- You will see the account you have just added shown in the list of accounts. Look at this customer's statement which should show the test transaction.

 

Once happy with result

If you are happy with what you see, setup all your existing accounts and enter a Journal Entry to carry forward the balance for the individual accounts.

Hint. If the computer slows while entering many balances in one hit, switch off the screen 'refresh' that normally causes a delay between each entry. 'Tools' 'Options' 'Suppress screen refresh for this session'

 

In future put all account transactions through as an Account Sale on 'RxOne' Point of Sale and/or add the Scripts to the appropriate account from within Dispensary.

For the first few transactions, reassure yourself that the items have actually been placed on the account by viewing the Statement from within the debtors module.

 

Previous debtor system

Unless you change over right at the end of the month, run statements on both the old and new system at the end of the first month. Send out both an old system statement and a new 'RxOne' statement, with a note saying something like,

 

"We have upgraded our accounts system. The statement on the [small statement forms - handwritten account - green printed paper - old - whatever] shows details from 1st to 15th of the month, and the balance is carried forward to the [white - blue - new] A4 paper which also shows transactions from 16th to 31st.

Pay only the balance on the large white sheet."
