Vouchers & Gift Coupons

The way these are handled will depend on the preferences of the management of each particular business.

External discount vouchers should not be confused with

loyalty club vouchers issued in house.

 

Gift Vouchers - When customer wishes to purchase a RxOne pre-printed Gift Voucher:

RxOne can print a gift voucher for purchase to be presented to the pharmacy at a later date.  This voucher has a barcode and can be scanned into the sale to reduce the purchase amount by the voucher amount.

You can set up your RxOne Clubs to print a voucher when a customer reaches their target points or Value spent.  The voucher will be automatically put into the sale and will print so that your customer can take it away and redeem it on their next purchase at your pharmacy.

To see how to set up a club refer to Clubs, Setting up in your help file.  If you already have an existing club you can set up a voucher card as follows:

 

To create a Stock Card for the Voucher

Go to stock cards New Card - Not to be dispensed as a Drug

Enter the Gift Voucher name e.g. Smith's Pharmacy Gift Voucher $10, or something like that.

Ctrl + G to generate a PLU

Product Group, Sub Group, Pos Message, Interaction Category, Barcode & Supplier can all be left Blank. Club will be attended to later.

- Stock Options - Put a tick in Pos Lookup only

List Cost $10.00 GST 0% Mark-up 0 Retail $10.00

Exit and Record the Changes.

 

If your club has previously been set up add the voucher as the gift:

(Note:  If your club has not been set up see Help Notes under Clubs, Creating.)

Go to Tools - Clubs - Edit Club Settings – Highlight the club you wish to edit and choose View Club.  The gift should be highlighted under Customer Incentives/Rewards.  Choose Modify.  Click on Specific Free Gift and search for the Gift voucher you created above e.g. Vitamin Club Gift Voucher.

To Use the RxOne printed voucher (from receipt printer)

Go to Sales, Options, Receipt Options and tick Print Gift Voucher.

 

The gift voucher will appear automatically in the sale when the trigger point is reached and will print automatically when the sale is completed.  The Gift Voucher can then be used on the next visit.

 

When the customer redeems the voucher

When the customer wishes to use the gift voucher enter the products they wish to buy.  Scan the barcode on the gift voucher.  The voucher amount will appear on the sale as a negative quantity so as to discount the purchase by that amount.

 

To Use the RxOne printed voucher (from receipt printer)

Go to Sales, Options, Receipt Options and tick Print Gift Voucher.

Note:  If you currently have stock cards called 'Gift Voucher' a gift voucher will print when this card is included in the sale.

When the gift voucher stock card is selected in a sale the gift voucher will print automatically when the sale is completed.

Printing Of Gift Vouchers using Epsom TMT88II printer

If you have an Epsom TMT88II printer you can now print gift vouchers at Point Of Sale.

To Print A Gift Voucher when required

In Point Of Sale Select Options, Receipts After Sale, Print Gift Vouchers

Every time you sell a stockcard with Gift Voucher in the name a Voucher will be printed

 

When the gift earned is a RxOne gift voucher

Your clubs can be set up so that a gift voucher will automatically be put into the sale and print when the sale has finished. The customer can then redeem their gift voucher on the next visit. Set up the options as above (Go to Sales, Options, Receipt Options and tick Print Gift Voucher). When the trigger point is reached the gift will automatically appear in the sale and be printed at the conclusion of the sale.

Issuing to customer

When selling a gift voucher, just sell off the ''Voucher' stock item.

Redeeming the voucher

When the customer wishes to use the gift voucher enter the products they wish to buy.  Scan the barcode on the gift voucher.  The voucher amount will appear on the sale as a negative quantity so as to discount the purchase by that amount.

If the barcode scanner isn't working:

Select the Gift Voucher stockcard

Enter a quantity of –1 and enter the value of the Gift Voucher

Customising the Gift Voucher

Add Logos

If you have loaded Logos into your printer  

Select Tools, Printer Setup, Pos Receipts, Advanced

Enter the number of the logo you want to print

Select Ok to save

 

Add a message

Select Tools, Options

Select the Messages tab

Click on the Add Button next to gift vouchers top and type in the message you want to show on the top of the gift voucher

Select Ok to save

 

Back office handling

Vouchers/coupons are in effect a draft (cheque) on the organisation issuing them, and the total of cash, cheques, bankcards and vouchers should balance with the `cash' total. Treat them as cash which happens to be issued by someone other than the central bank. Exchange them for real money with the issuer as convenient and meanwhile treat them as a special type of banknote.

 

To reprint a Club Gift Voucher

If the voucher was generated today, look for that sale on the main sales screen, highlight it, and click on "Print Receipt". A duplicate voucher will be printed.

If the voucher was generated on another day, from main sales screen, go to View, Display Other Days Sales". Select the day then look for that sale on the main sales screen, highlight it, and click on "Print Receipt". A duplicate voucher will be printed.
