From the 'RxOne' Start Menu, 'Tools', 'Clubs' will bring up the Clubs utility with 'Edit Club' 'Print Mailing labels' 'Club Gift'.

 

Example of creating a Revlon club

* From the 'RxOne' Start Menu, select 'Tools'.

* Select 'Clubs'.

* Select 'Edit Club Settings'. A list of already existing clubs will be displayed.

* To add a new club, select 'Add Club'. The following screen will be displayed.

* Type in the 'Club Name' and set the club to record totals as 'Retail'.

 

Select the 'Add' button to add a 'Customer Reward/Incentive'.

 

Enter the 'Action Name', 'Trigger Point' and 'Customer Reward'.

 

Note that the customer rewards can automatically be done by 'RxOne' in two ways.

 

1. Free Gift (prompt staff for gift at time of sale). This will display the message at the bottom of the screen when the trigger point is reached.

2. Specific Free Gift. Where a pre-set stock item will be added to the sale. Note, this is the best way to do vouchers/free film processing etc.

3. Give X dollars if discount on the current sale - When the trigger point is reached there will be a deduction of the specific dollar value from the current sale.

 

* Save all the club settings by selecting OK and return to the 'RxOne' Main Menu.

 

To add stock items to the Club:

This is probably the hardest part of Clubs to set up and maintain. You need to decide which stock items are going to count towards the club and set them up accordingly. To do this:

* From the 'RxOne' Start Menu, select 'Tools'.

* Select 'Utilities'.

* Select 'Stock Utilities'.

* Select 'Bulk Stock Edit Utility'.

* Do a backup (in case you get things really wrong).

* Choose a 'Supplier', 'Product Group' or 'Product Class' to select all the stock you want to be in the club and Select 'OK'.

* For this example the supplier was set to Revlon and a list of all the stock lines available from Revlon are displayed on the screen.

 

To remove any items you don't want in the club, highlight them and press the DELETE key on the keyboard.

* Click on the 'Select items from the list' Tab and using the scroll bar on the right of the window, scroll through and check that all the items you want allocated to the Revlon club are in there.

* Once finished, click on the 'Select Option' tab.

* Tick 'Set Club To' and select 'Revlon'.

* Tick 'Club Points' and select 'Retail'.

* Set 'Make Changes to:' to 'All items listed above'.

* Select 'Make the Changes'.

* Exit back to the start menu and the club setup is complete.

* Try a few test sales to ensure it works as expected.

 

What happens at the Point of Sale?

To add a person to a club from the point of sale, see Club, Adding customer

You will be prompted to fill in 'Lifetime' and 'Current' totals. This is to allow people to easily add customers who have been recorded on a manual system. 'Lifetime' totals should be the total retail or number of packs they have been bought. 'Current' totals should be how much they have accumulated towards a free gift. For example in the $120.00 Revlon club a person may have '$130.00 'Lifetime' and since they got a gift at $120.00, a $10.00 'Current' total. Set them to zero if they are new.

 

Note: if the person is already in the club a similar button will be shown 'View History'. When clicked, the last twenty club items and dates of sale will be displayed. This can allow you to find a specific club item they liked easily.

Note: you can now view and edit the club points from the Customer Details screen in PoS.  Click on "Edit Person Details" and you will be able to see the "Lifetime Total", "Current Total" and "Points Needed" for the club.  To edit the club points, click on the appropriate column then override the club points.  Make sure you click "Save and Close" after editing. Club points can only be edited by staff who have access to the Club Utility.

Note: if you have forgotten to do a sale as a club sale you can add after the fact.

 In PoS go to File, Add Sale To Club Member, type in persons name in field, click ok to question.  If the person is not in a club, it will ask if you would like to add the customer to the club.  Select "Yes" and will add the person to the club and then add the sale to the customer's club history.

 

What happens when they get a free gift?

When a trigger point is reached and action is needed, the club message is displayed.

 

Club Trouble Shooting and Hints:

 

Q. How do I create a photographic club where every tenth film is free?

A. Create a club called 'Photographic'

Set it to record Club Points as 'Number of Items Purchased'.

Add an incentive. Set the incentive to trigger after 9 items.

Set the incentive to 'Free Gift (prompt the staff at time of sale)

Create an incentive message that gives full instructions to the staff member doing the

sale i.e. "Customer has purchased nine films and can have their tenth one free. Type

in the film to be given away now. (You may wish to put the sale on hold while they

choose.

Using Bulk Stock Edit, bring up all the films in the shop and set their club to

'Photographic' and the 'Club Points' to '1 per pack'. On double and triple film packs

set them to '2 per pack' and '3 per pack' respectively.

 

Q. When I do a sale the persons totals only go up by 1 cent per pack sold, not by the retail price of the product as I intended.

A. The club is set to 'display as dollars' but the stock item has had its Club Points set to '1 per pack'. Set the Club Points to 'Retail' to fix this problem.
