Active stock items are those which have either;
- Stock on hand, or
- Stock on order, or
- Usage during the last three months.
Normally active drugs are shown in black at the top of the drug selection box., followed by non-active drugs in red.
If preferred, display of non active (red) drugs can be suppressed, see below.
Stock can be made 'active', and so display in black by making any one of the above conditions true (but also check that it is not 'No reorder' on the Drug Card as this will stop a drug being 'active').
Non active stock
- Fails all three of the above tests
- Or is marked 'no reorder' on stock cards.
Stock can be made 'non active' and so appear in red by marking as 'no reorder', or
By wiping the Stock-on-Hand, making sure there is none on order, and waiting for the last usage to be three months ago.
Stock is always considered active is there is some on-hand, no matter how long it has remained unused.
Red/black colour wrong
Active (black) drugs will show as Inactive (Red) if;
1. Date is incorrectly set to future
If the date was moved forward more than 3/12, all drugs will appear inactive for at least the last three months and so turn red. Check the machine date and correct, then see below.
2. Date is correct now but RxOne was run with future date
- Any scripts accidentally dispensed with a date in the future need to be edited to correct the 'date dispensed' for correct claiming and to allow repeats to be dispensed. Be aware that patients will have labels bearing the future date.
- If stock control is not used, all drugs will be red until dispensed for the first time, when they will turn black again.
- If stock control is used and stock levels known, the order quantities will probably require adjustment until the next end-of-month rollover, as forecasting will be affected. Do not try to correct this by forcing a rollover early as that could compound the problem.
To force a drug RED
First Display the Item within StockCards
Select 'Edit' and 'Move Item into Red on Lookup'
This removes the History for this item so make sure this is exactly what you want to do!
To force a drug BLACK
Make sure 'reorder' is ticked on the stock card (if 'no reorder' then is automatically red so will only be chosen by those who know it is not going to be active in future.
Dispense some for a test patient. Even 1 is enough.
To hide non-active (Red) drugs
From Dispensary, Options, RxOne Options, tick or untick 'Hide Non Active drug'. This can also be switched on or off when dispensing on the drug selection screen. If the non active drugs are hidden, click on 'Show' all to unhide them. To hide non active, click on hide
Note; It is better to leave Non-active drugs displayed in red because experience has shown that suppressing them often inconveniences relievers and casual staff who are often under pressure and may not immediately notice the 'show' button.
