Allows Suppliers, Product Groups and Product Classes to be modified across a large number of cards at the same time.
WARNING!
Changing stock information in bulk is a powerful feature. Always look through all the items in the list before changing them, make a backup, and check immediately after the bulk change whether the effect is what you want while there is still time to 'restore' the old file.
Selecting the stock cards required to 'Bulk edit';
From the RxOne Start Menu, select 'Tools', 'Utilities', 'Stock Utilities', then 'Bulk Stock Edit Utility'.
You can select stock cards by Supplier, Product Group, Product Class, Club and Trade Name. Other selections include Active Stock Only, "Markup zero or less on a shop item" and Shop or Dispensary Items Only
There are three basic types of criteria for each field:
- [All] Show stock regardless of this setting.
- [No Supplier/No PG/No PC] Show stock if this setting is blank.
- Supplier/PG/PC Show stock only with a particular supplier, product group, club etc.
You can also search for stockcards by:
Trade Name: only items which match the description will be shown. To get all items for a Supplier/PG/PC leave this blank. Eg, Kodak will bring up all items that begin with 'Kodak .....".
Use * (asterisk) for a sliding search to find an embedded trade name.
Examples;
REV Selects all stock cards beginning with REV
REV LS Selects all stock cards beginning with REV that also have the letters 'LS' somewhere (anywhere) in the Trade Name.
*LS Selects all stock cards with LS somewhere (anywhere) in the Trade Name
The list of all matching cards will be displayed. This may be a very long list if you are not specific about what you want. It often takes several tries to find the criteria that selects all, and only, those cards you want. Be sure to take the time to select correctly before going ahead.

There is a Dispensary Search Option in Bulk Stock Edit
This can be used to update the additional user premium.
Select either a price as option (i.e. Special Foods) or a cost range (Subsidy between 0.01 and 5.00)
A list of cards and indications will show up
Use the hide /show columns to reduce the amount of information and the screen to what you need
A new tab Drug Price options will show up
The first option is for if you want to charge the patient a certain price (i.e. I want to charge all special foods customers $5.00 per pack) (If your markup is 50% and wholesaler markup is 10%) and pack size is 100 mls premium will be 5.00/1.15(remove gst) /1.1(remove wholesaler markup)/1.5(remove markup)/100(get price per ml) = 0.0263 per ml
The second option is when somebody has worked out the Additional User Premium for you (i.e charge a premium of 0.01 cents per tablet plus markup, wholesaler markup and gst) (If your markup is 50% and wholesaler markup is 10%) and dispensing 100 tablets then total price will be (100*0.01) + 0.50 (50%) + 0.15(10%) + 0.25(15%) =1.9
The next 3 options charge a percentage of a cost ( so if the generic cost is $10.00 and the percentage is 5% and the pack size is 100 then the Additional User Premium per unit will be 0.005) ) (If your markup is 50% and wholesaler markup is 10%) and dispensing 100 tablets then total price will be (100*0.05) + 2.50 (50%) + 0.75(10%) + 1.24(15%) =9.49
As per usual in all RxOne Reports to make things easier if you want to sort the information (i.e. sort by indication so all de-listed indications are together then just click on the column header )
Editing The Stock Cards
- When you go into Bulk Stock Edit and select the supplier you will see 4 tabs
1) Select Items from List: has the list of all products for the supplier you chose. You can update all at once (not recommended) or just those items you highlight (the default).
2) Select Options: shows all the options you can alter in bulk
3) Prices and Price Options: to change GST, increase markups, etc
4) Select more options: this tab has the option to print Price stickers or Shelf labels in bulk
The Stock Cards will only be selected if they meet ALL the specified criteria and therefore the defaults are for ALL Suppliers, Product Groups, Product Classes and Trade Names.
On the bottom left of the 'Bulk Stock Card Edit Utility' screen is an option 'Make Changes to'. This option indicates which items will be changed when 'Make The Changes' is pressed, at which point an option that is ticked will be applied to the relevant Stock Cards. If the option is ticked and nothing is set it will be wiped (I.e. 'Set Product Group' ticked with no Product Group selected. The Product Group setting will be blanked on the stock card.
To 'Undo' changes
From the 'Edit' menu select 'Undo'.
There is one level of undo available. I.e. you can undo the last change made, but cannot undo again further back than that.(Check with HealthSoft on this as it may be all changes made today.)
To view all Drug cards without a supplier
On the selection screen:
Tick "Dispensary Stock Only"and under Supplier, choose "No Supplier"
You can then add a supplier by ticking the 3rd option "Add Supplier" on the Select Option tab and choosing your main wholesaler from the list of suppliers
Importing Products from Zebex using Bulk Stock Edit
Scan the products you wish to make changes to using your Zebex Handheld scanning unit. You can also add retail prices if this is what you wish to change.
Go to Tools, Utilities, Stock Utilities, Bulk Stock Edit Utility. Select Import. Make sure the correct Comm Port is selected by clicking on the ‘Stocktake Unit Settings’ drop down menu. Enter the number of the Comm Port.
Select ‘Import’ and use your Zebex instructions to download the products scanned. This will import the products to the Bulk Stock Edit Utility.
If you are choosing to update retail price you’ll need to select the checkbox ‘Update Retail from Scanner’. Then choose either ‘Only the Highlighted Items’ or ‘All Items Listed Above’ and make the changes.
You can also select other options on the panel at the same time e.g. change product group or print stickers.
