Stock, Minimum SoH

The setting for 'Minimum SoH' on the stock cards forces stock to be ordered for an item whenever the SoH (Stock On Hand) drops below this level. It can be overridden by deleting an item from an order and selecting 'Do not order until...'.

 

When using General Wholesaler orders daily

In normal circumstances, manually setting a Minimum SoH is only detrimental to the best stock control. At best it will do nothing, at worst it will result in unnecessary extra stock being carried, and an item being ordered several times a month instead of only once. A manually set Minimum SoH should be constantly monitored and adjusted according to current usage.

RxOne has many algorithms that automatically and constantly calculate and adjust a minimum SoH (reorder point) to the ideal. If a manually set Minimum SoH is below the RxOne reorder point then it will do nothing. RxOne will order correctly before it is reached.

If it is set higher than the RxOne reorder point then extra stock will be carried over at the end of the month when it is desirable for stock levels to be at their lowest. During the month orders will be created for one item frequently to bring the stock up to the Minimum SOH level, even though there is still plenty of stock for a few days and no need to order at that point.

 

When to use 'Minimum SoH'

Use ONLY when the 'expected' quantity is not a useful dispensing quantity. For example: a history like '0, 84, 0' will probably have an expected quantity of '28'. If this quantity is too small to usefully dispense, the 'Minimum SoH' field on the stock-card could be set to '84'.

 

When NOT to use

Never use 'min SoH' to allow for surges in usage... RxOne can also see the usage and surges and will only allow you to go o/s when an exceptionally unusual usage occurs. A small amount of o/s while waiting for an order to come is an economic necessity (to prevent ANY temporary o/s would required 6/12 of everything to be held at great cost). Setting minima prevents it reducing stock when usage falls.

 

To boost stock at End-of-Month

Some users ask about inserting a 'min SoH' because they want more stock than RxOne will normally suggest at End-of-Month. It should not be used for this... To boost EoM stock, make up an order for 1 or 2 weeks (or 1.5, 1.6 weeks etc) near the end of the month.

 

Note: because the 'Minimum SoH' will override the 'Expected Usage' in ordering, a 'reasonableness test' is done on every stock-card each month. If the 'Minimum SoH' exceeds the total usage for the last four months it is cleared. This prevents overstocking in lines that are not being used.

 

To check for stockcards with Min SoH

Go to Reports, Stock Reports, Minimum SoH Report. Scroll to the bottom of the report to find those items with a Min SoH. Double-clicking on an item will take you to the stockcard where you can delete the Mon SoH.
