To sell restricted medicines, appropriate staff members must have the tick box 'Restricted Meds' ticked in Staff Utilities (see instructions below to enable staff to sell Restricted Medicines).
Go to the appropriate stockcard. On the rhs of the Stock Information tab tick the checkbox for 'Restricted Med'. This product when sold will now come up with a message to ask for the Pharmacist's ID. If security is denied, check with the pharmacist.
To enable staff to sell Restricted Medicines
Go to Tools, Utilities, Staff Utilities and Modify Staff.
If a staff member isn't allowed to sell restricted medicines they must get a pharmacist to enter their code (and password, if they have one) for the sale to proceed.
This is a good way to ensure that a pharmacist has authorized the sale of restricted medicines, and can be used to prove that you are fulfilling all legal requirements.
If you don't want this level of security for the sale of restricted medicines, it is possible to create new pharmacist identities in Staff Utilities that will only be used to record the sale of restricted medicines. The staff code for this new identity could then be made known to staff members solely for recording restricted medicine sales.
To do this go to Staff Utilities and create a new staff member identity with only the restricted medicine box ticked. This way a pharmacist can have a staff identity for themselves with a staff code and password if required, and another staff identity with a different code for others to use to record sales of restricted medicines.
For example:
Name: Bob Staff Code: BB Password: 1234
Full security access to all RxOne functions ticked in staff utilities.
This is the identity that Bob uses.
Name: Bob Staff Code: BO Password: (none set)
Only Restricted Medicine Ticked in staff utilities.
This is the identity that others use when selling a restricted medicine that Bob has authorized.
Report Restricted Medicines sold
From RxOne Start Menu, go to Reports, Sales Reports, Recorded Sales Report. You can report by Drug, Person or Resthome, order by date, person, drug, include totals and select a date range.
The report shows:
Date Sold
Customer Name & Address
Quantity
Sale Value
Trade Name
Staff Member
Pharmacist
At the time of sale, entering a name not in the system will create a new patient in Dispensary and all Restricted and OTC Medicines show on the Patient screen on the OTC and RM tab.
Drivers' licences for Restricted Medicines
If a driver's licence is recorded in the customer details, it will appear on the Restricted and OTC Medicines Report.
To record the driver's licence: when doing a sale, type in the customer name and then press Ctrl+D (or go to Edit and Add/Modify Person details), click on the Driver's licence field and either scan the barcode or type in the number.
Troubleshooting
Problem =Restricted Medicine - was "sold" to the wrong person. How to move to correct person?
Solution = Need to make a negative qty sale to cancel out the sale - adding the customer name in the account field. This will show as a negative amount on the customer/patients "Event Audit"
